The brief

Operational truth shouldn’t live in a back office.

Feeleat’s operation runs on people across kitchens, logistics and retail sites. Hours, attendance, performance reviews and sign-offs lived in back-office systems the people doing the work never saw — so every question became a phone call to HR.

We moved the operational truth into the workforce’s pocket: one app where employees see their hours, log attendance, sign documents digitally and watch their own dashboards — synced live with the same ERP spine that runs payroll. Questions answered by glancing, not calling.

Adoption settled the argument: 96% of staff were using the app within thirty days, payroll reconciliation now runs at 99.8% accuracy, and managers got roughly fourteen hours of timesheet administration back every week.

The challenge

Questions shouldn’t need a phone call.

Hours, schedules and sign-offs lived in systems the workforce couldn’t see.

01 — The problem

Operational truth was locked in the back office.

The people doing the work had no window into their own records.

  • Every question a callhours, balances and schedules all ran through HR.
  • Paper sign-offsdocuments chased across kitchens, docks and sites.
  • Invisible performancedashboards existed for managers only.
  • Slow correctionserrors surfaced at payroll, weeks too late.
02 — The solution

Self-service in the workforce’s pocket.

One app, synced live with the same ERP spine that runs payroll.

  • See your own truthhours, attendance and dashboards, per employee.
  • Digital signaturesdocuments signed in-app and archived automatically.
  • Live ERP syncwhat the employee sees is what payroll runs.
  • Secure by defaultstrong authentication in front of personal records.
What we built

Self-service for the front line.

Six workforce surfaces, synced to the FeelEat ERP in real time.

01

Working-hours view

Schedules, completed hours and overtime visible to each employee, always current.

02

Attendance logs

Clock events and attendance history per person — the same record HR sees, no asymmetry.

03

Performance dashboards

Personal metrics surfaced to employees and managers from live operational data.

04

Digital signatures

Contracts, policies and sign-offs executed in-app — no printing, no chasing.

05

Secure authentication

Biometric and device-bound login appropriate to personal employment data.

06

Real-time updates

Schedule changes and announcements pushed live to the people they affect.

How we built it

Truth, moved to the front line.

Four phases, starting on the kitchen floor — not in a meeting room.

1

Conceptualisation

Shadowed kitchen, logistics and retail shifts to find the questions people actually ask.

2

Design

An interface for work breaks: glanceable hours, one-tap attendance, zero manual reading.

3

Development

iOS and Android apps wired to the ERP — live sync in both directions.

4

Deployment

Site-by-site rollout; 96% adoption inside thirty days.

The hard parts

What kept us up at night.

The problems that decided whether the product worked at all.

01

Payroll-grade accuracy

An employee app that disagrees with payroll is worse than none. Live two-way ERP sync keeps one record both sides trust — 99.8% payroll accuracy.

02

Adoption without a mandate

96% adoption in thirty days came from answering real questions faster than a phone call could.

03

Signatures that stand up

Digital sign-offs had to be legally robust and effortless — one tap in-app, logged and archived with full evidence.

The outcome

Numbers the owners watch.

When the workforce can self-serve, the back office stops being a switchboard.

−14 hrsManual timesheet work / manager / week

Hours of spreadsheet wrangling per manager simply disappeared.

99.8%Payroll reconciliation accuracy

What employees log is what payroll runs on — one truth, two views.

96%Staff adoption in 30 days

The workforce chose the app on its own — because it answers their questions first.

We brought CODT in for a six-week scoping sprint and kept them on for two years. The same architect ran the whole engagement — that’s why our roadmap actually shipped.
