Clock-in you can run payroll on.

A modern mobile clock-in app for Feeleat’s multi-site teams — NFC, QR and biometric attendance with real-time updates to managers and HR, and a full, fraud-resistant history.

The brief

Paper timesheets are a rounding error that compounds.

Hourly teams across kitchens, logistics and retail sites were clocking in on paper and memory. Buddy-punching, generous rounding and transcription errors each looked small — and compounded into a payroll figure nobody could defend.

TapTime made attendance a physical fact: NFC taps, QR scans and biometric confirmation at the site, flowing straight into the ERP that runs payroll. Managers see who is on shift in real time; employees see their own verified history; the argument about hours simply ended.

Across FeelEat’s sites the effect was immediate: attendance accuracy at 99.5%, payroll preparation roughly 80% faster, and buddy-punching cut by about 95% — because clock-in now happens at the site, on the device, against the ERP.

The challenge

Payroll is an argument until attendance is a fact.

Small rounding errors and buddy-punching compound into payroll figures nobody can defend.

01 — The problem

Paper timesheets, compounding errors.

Attendance ran on memory and goodwill across multiple sites.

  • Buddy-punchingcolleagues clocking each other in, invisibly.
  • Generous roundingminutes drifting into hours over a month.
  • Transcription errorspaper to spreadsheet to payroll — each step lossy.
  • No live picturemanagers couldn’t see who was on shift right now.
02 — The solution

Attendance as a physical fact.

NFC, QR and biometric confirmation at the site, flowing straight into the ERP that runs payroll.

  • Three factorsNFC tap, QR scan or biometric confirmation, per site policy.
  • Fraud-resistantbuddy-punching down ~95%.
  • Live shift viewmanagers see presence in real time, across sites.
  • Payroll-readyverified hours land in the ERP; payroll runs ~80% faster.
What we built

Attendance as a fact.

Three ways to clock in, one tamper-resistant record.

01

NFC tap-in

A tap on a site-mounted tag — clock-in bound to the place, not just the phone.

02

QR & biometric modes

Camera and biometric confirmation where NFC does not fit — same record, same rigour.

03

Real-time presence

Managers see who is on shift across every location, live — not at week’s end.

04

Full attendance history

Every event timestamped and immutable — disputes resolved by record, not memory.

05

Payroll-grade ERP sync

Verified hours flow straight into the payroll spine — zero re-keying, zero drift.

06

Anti-fraud design

Device binding and verification make buddy-punching structurally impractical.

How we built it

From paper to proof.

Four phases, designed around a one-second clock-in.

1

Conceptualisation

Mapped the fraud vectors and the physical constraints of every site type.

2

Design

A clock-in that takes a second — tap, confirm, done, gloves on.

3

Development

Mobile apps with NFC, QR and biometric verification, synced live to the ERP.

4

Deployment

Multi-site rollout — 99.5% attendance accuracy in production.

The hard parts

What kept us up at night.

The problems that decided whether the product worked at all.

01

Verification without friction

Security that slows the clock-in gets bypassed. A verified tap takes about a second — the honest path is also the easy one.

02

Sites with different physics

Kitchens, docks and retail floors each got the factor mix that works there — NFC, QR or biometric — writing to one record format.

03

An audit trail HR can stand on

Every clock-in carries its evidence: factor, device, location, time. Disputes ended by lookup, not by argument.

Architecture

The outcome

Numbers the owners watch.

When attendance became a fact, payroll became arithmetic.

99.5%Attendance accuracy

Records management and finance both trust without sampling.

~80%Faster payroll

Verified hours flow tap-to-payroll — the month-end crunch became a button.

~95%Less buddy-punching

Fraud engineered out structurally, not policed out manually.

We brought CODT in for a six-week scoping sprint and kept them on for two years. The same architect ran the whole engagement — that’s why our roadmap actually shipped.
